Actions and Infinite Project Hierarchies
First, let’s clarify the concepts of "Project" and "Action." According to GTD theory, an "Action" is the smallest, indivisible unit of an event in GTD, while a "Project" is a collection of multiple "Actions."
OmniFocus’s key strength lies in its support for customizing and managing projects with infinite hierarchical levels. It allows you to nest projects within other projects — which aligns with our expectations. In most cases, we may set up two or three levels of project hierarchy. However, it is recommended to avoid creating too many hierarchical levels, as deeper data structures increase traversal and retrieval time, and excessive nesting can make practical usage more cumbersome.
Grouping Projects Using Folders
To create a project folder, follow these steps:
(1) In the “Projects” perspective, select two or more projects.
(2) Choose Organize → Group (Option-Command-G). This will place the selected projects into the same folder.
Alternatively: Choose File → New Folder from the menu bar, then drag the selected projects into the newly created folder.
Syncing Issues
Upon first launching OmniFocus 2, the system will prompt you to set up syncing. In OmniFocus, syncing serves as an essential additional layer for data backup and enables advanced features such as Mail Drop. If you use OmniFocus for iPhone or OmniFocus for iPad, syncing allows real-time updates across all your devices.

Warning
Services like Dropbox are excellent for file sharing, but they cannot properly handle OmniFocus data. Syncing OmniFocus data via Dropbox may corrupt your data. Do not use Dropbox to sync OmniFocus data.
